The Data pages in Luminar Works
The Data menu contains four pages — Assets, Agents, Customers, and Tasks — that share the same layout and behaviors. This document describes the shared layout, and the ways individual entities differ.
Modules can add sections and fields to these pages and their panels: what you see reflects the modules active for your Business Unit.
Data page layout: header section
- The page name (Assets, Agents, Customers, or Tasks).
- A search bar — a text input that searches particular fields using a contains (substring) match. A clear button removes the text from the search field. The fields searched per entity are listed in each entity's section below.
- An Add [entity] button.
- An Upload button — see Uploading data below.
Data page layout: tools section
- A select-all checkbox on the left — selects or unselects all rows on the current page that qualify according to the applied search and filters. Select-all does not extend across other pages of the list.
- A Filter button on the right, which opens the filter panel on the right of the screen. Any applied filters are shown as labels to the left of the button, and can be individually removed by selecting the cross icon in the top right of the label.
Data page layout: list section
The list view has column headers with sorting controls:
- An up-and-down arrow together means the column is sortable.
- A down arrow means sorting is descending; an up arrow means ascending.
- Sorting applies across all pages of the list, not just the visible page.
Each row has a checkbox on the left, followed by its displayed columns. A scroll bar appears on the right of the list when the rows exceed the space available on screen.
The list footer contains:
- A "Rows per page" setting on the left — 5, 10, 25, or 50, selected from a dropdown.
- Pagination on the right, with Previous and Next buttons and selectable page-number buttons.
Uploading data on a Data page
The Upload button opens a modal for importing data in bulk. Upload supports CSV and XLSX formats.
- On the Tasks, Assets, and Agents modals, the Business Unit the data relates to must be selected from a dropdown first.
- Every entity's upload modal lets you select a document to upload and download a template in CSV or XLSX format.
- The XLSX template is recommended for new users: it indicates the data formats, marks the required fields, and provides examples.
Adding an entity on a Data page
Selecting the Add [entity] button opens the right-hand panel with the first section expanded. The Add button at the bottom of the panel only becomes selectable once all required fields have been populated. Field validation follows the same conventions as elsewhere in Luminar Works: required fields are marked with an asterisk (*), and fields with validation errors are outlined in red with the reason shown below the field.
Identifiers on the Data pages
Identifiers are required to uniquely identify entities. If you have a unique identifier, code, or name that your existing systems (ERP, WMS, and so on) use, input this into the Identifier field — using your own identifiers keeps Luminar Works aligned with the systems upstream and downstream of it.
If you don't have another system to integrate with, use the Generate button to the left of the Identifier field when creating an entity, and Luminar Works will create a unique identifier for you according to a standard formula, prefixed by entity:
- Asset — AS
- Agent — AG
- Customer — CU
- Site — prefixed with its Customer's identifier
- Task — TK
Editing an entity on a Data page
Selecting a single row that is eligible for editing opens the right-hand panel as Edit [entity], with its sections contracted — expand a section to update the fields within it. Fields that can be edited have a darker font color and are interactive when selected; fields that cannot be edited remain lighter.
The Edit panel displays all of the sections and fields available in the Add panel.
Bulk editing on a Data page
Selecting multiple rows opens the right-hand panel as Bulk Edit [entities]. Bulk editing allows a limited subset of field values to be set across the selected rows.
Rows that are not eligible for editing cannot be selected as part of a multi-select or select-all action.
Filtering on a Data page
The Filter button opens the Filter [entity] panel, where the available filters are grouped into sections — expand a section to see and interact with its filters.
For checkbox-option filters, selecting all options and selecting no options behave the same way: all items are included. A filter only narrows the list when some, but not all, of its options are selected.
The Assets and Agents pages
The Assets and Agents pages share some indicators in their list views:
- Speed profile is shown as an icon: a car, a truck, or a motorbike.
- Status is shown as a label: "Active" in green, "Inactive" in gray.
- License expiry is color-coded by font: red for expired, orange for one calendar month or less until expiry, and green for more than one calendar month until expiry.
The Assets page
Columns in the list view: Asset name, Speed profile, Identifier, Business Unit, Capacity 1, Status, and License expiry.
The search bar searches: Asset name and Identifier.
Why aren't capacities available to populate for my Asset?
This occurs in Time-Constrained Business Units: only service tasks — which have no sizes — can be planned by this kind of Business Unit, so Assets don't require capacities.
The Agents page
Columns in the list view: Agent name, Speed profile, Identifier, Business Unit, Contact Number, Resource Type, Status, and License expiry.
The search bar searches: Agent name, Identifier, Contact Number, and Email. Email is an additional field available to populate when adding an Agent.
Why does the Resource Type matter?
There are two options for Resource Type: Company Owned (the default) and Third Party. The optimizer gives precedence to Company Owned resources.
Customers and Sites on the Data pages
Customers behave differently from the other entities, because Customers have Sites associated to them. A Customer's Sites are accessible in one level of drill-through from the Customers page.
Data pages FAQs
Why can't I select some rows?
Rows that are not eligible for editing cannot be selected as part of a multi-select or select-all action.
I unticked every option in a filter — why is everything still showing?
Selecting no options behaves the same as selecting all options: all items are included. To narrow the list, select some — but not all — of a filter's options.
How do I remove one filter without clearing the others?
Applied filters are shown as labels next to the Filter button — select the cross icon in the top right of a label to remove that filter individually.
How do I change how many rows are shown?
Use the "Rows per page" setting in the list footer — 5, 10, 25, or 50 rows.
Why can't I press the Add button?
The Add button only becomes selectable once all required fields — marked with an asterisk — have been populated, and there are no validation errors.
Where do I manage my Sites?
Through the Customers page — a Customer's Sites are accessible in one level of drill-through from the Customer.
What file formats can I upload, and which should I use?
Upload supports CSV and XLSX. The Upload modal lets you download a template in either format. New users are encouraged to use the XLSX template — it indicates the data formats, marks the required fields, and gives examples. For Tasks, Assets, and Agents, select the Business Unit the data relates to before uploading.
Why do these pages show fields I don't recognize (or lack fields I expect)?
Modules can add sections and fields to these pages and their panels — what you see reflects the modules active for your Business Unit.
